Minnesota Parents' Club Class Representatives and Officer Responsibilities
Class Reps - two to three families per class who volunteer to represent their cadet's class at USAFA beginning in the four-degree year and ending upon their cadet's graduation. The involvement is with the Minnesota Parents' Club which exists to support the cadets and their families during their time at the Air Force Academy.
The following Class Rep responsibilities have been established for the Minnesota Parents' Club and seem to work well. Input and suggestions are always considered since the club exists for the sole purpose of cadet and family support.
Prep Class Reps (prep year – graduation)
●Liaison from all Prep families to the club
●Attend monthly meetings and club events
●Mentor prep families through their prep year
4 Degree Class Reps (freshman year at USAFA)
●Liaison for your class to the club
●Attend monthly meetings (October thru May) and club events
●Plan and host the July Family Picnic (hosted as a 3 degree)
●Keep records of event planning, give updates at Parents Club meetings and prepare an event summary to be shared after the event
●Assist with Minnesota Night
●Assist with fundraising opportunities the club chooses to participate in
●Pass all pertinent materials (notebooks, tubs, banners, etc.) to next group
3 Degree Class Reps (sophomore year at USAFA)
●Liaison for your class to the club
●Attend monthly meetings and club events
●Plan and host the New Cadet Orientation (May) or Banquet (April) for 2 years (Odd class years do the Orientation, even class years do the Banquet with AOG)
●Keep records of event planning, give updates at Parents Club meetings and prepare an event summary to be shared after the event
●Assist with Minnesota Night
●Assist with fundraising opportunities the club chooses to participate in
●Pass all pertinent materials (notebooks, tubs, banners, etc.) to next group
2 Degree Class Reps (junior year at USAFA)
●Liaison for your class to the club
●Attend monthly meetings and club events
●Plan and host the New Cadet Orientation (May) or Banquet (April) for 2 years (Odd class years do the Orientation, even class years do the Banquet with AOG)
●Keep records of event planning, give updates at Parents Club meetings and prepare an event summary to be shared after the event
●Send graduation gifts to Minnesota cadets
●Purchase gifts for outgoing 1st Degree Class Reps/Club Officers
●Assist with Minnesota Night
●Assist with fundraising opportunities the club chooses to participate in
●Pass all pertinent materials (notebooks, tubs, banners, etc.) to next group
1 Degree Class Reps/ Club Presidents (senior year at USAFA)
●Liaison for your class and the MN Parents' Club to the Academy
●Lead the monthly meetings and oversee club events
●Selection of class reps from the incoming freshmen
●Oversee the Mentor program
●Cookie Packing (Dec)
●Gather and compile info for the Senior photo display for the Banquet and newsletter
●Coordinate communication of information to club members for all functions
●Coordinate communication of information received from the Academy Parents Club Liaison Officer to club members
●Assist with Minnesota Night
●Assist with fundraising opportunities the club chooses to participate in
●Pass all pertinent materials (notebooks, tubs, banners, etc.) to next group
Secretary
●Attend monthly meetings and club events
●Take minutes, post minutes on the shared google docs drive and secure area of the Club’s website
●Assist with membership roster as needed
Treasurer
●Attend monthly meetings and club events
●Collect monies from events, membership, etc.
●Deposit, record and account for all transactions
●Collect membership dues, help maintain membership roster
●Pay bills, reimbursements as needed
●Balance check book and savings accounts each month
●Report financial activities at monthly meetings
●Provide a Profit and Loss statement at each meeting with copies for all officers
●File paperwork and fees for 501c3
●Responsible for providing information for required audits
Social Media Lead
●Attend monthly meetings and club events
●Collect club information on events and meetings from club members
●Post on Facebook and other designated Social Media about Club events, information and meetings
Webmaster
●Keep website up to date
●Make corrections and additions as directed by executive board
●Annually clear out logins, reassign logins to current members who request it
●Ensure all bills relating to website are paid
Parents’ Night-Out Coordinator
●Set up schedule at restaurants monthly (September thru May)
●Alumni invited to October get-together
●Distribute schedules prior to September
●Obtain RSVPs from members and make restaurant reservations
●Secure gift card donations for banquet fundraiser from each restaurant if possible
Minnesota Night Coordinator
●Attend monthly meetings and club events
●Secure a date to host event at USAFA
●Coordinate fundraising, planning and host event at USAFA
●Keep records of event planning and prepare an event summary to be shared at the following club meeting
Membership/Roster
●Attend monthly meetings and club events
●President, Treasurer and Secretary will coordinate the membership roster
●Keep roster updated – including preps, current cadet families, alumni
●Disseminate email information to the club as needed for cookie packing, graduation gifts
Name Tag Coordinator
●Attend monthly meetings and club events
●Promote name tag purchase
●Work with Class Rep at Orientation to include name tag information for new members
●Order and distribute name tags
Athletic Liaison
●Attend monthly meetings and club events
●Inform club members of USAFA athletic events in the Minnesota area
●Coordinate support of athletes that are in Minnesota for athletic events
●May also include other USAFA traveling groups – music, speech, etc.
All Academy Ball Representative
●Liaison between AAB planning committee and MN USAFA Parents’ Club
●Attend meetings of the planning committee
●Report to MN Parents’ Club as needed
●Plan and host AAB with other service academy parent clubs in December each year
Mentor/Mentor Family
●Contact family within 1 week of assignment, if no response, check with Orientation organizers to confirm contact information
●Create ongoing relationship to support new families
●Continue contact with assigned family at least once/month for 6 months after assignment
●Continue relationship as needed
●Encourage new families to join our club by promoting our events and explaining the role of our club
